CADhire connects businesses (primarily dental labs and clinics) with vetted CAD designers and dental engineers. We operate in, and serve clients and candidates located in, both the United States and the European Economic Area, United Kingdom, and Switzerland ("Europe"). This Policy is written to meet the disclosure requirements of the EU/UK General Data Protection Regulation ("GDPR") and applicable U.S. state privacy laws (such as the California Consumer Privacy Act, as amended by the California Privacy Rights Act ("CCPA/CPRA"), and similar laws in other states).

When you submit our "Hire CAD designers" form or otherwise contact us to request talent, we collect:

  • The content of your message and any hiring requirements you describe (e.g., software used, role specifications, lab/clinic details)

  • Any information shared during onboarding, NDA execution, or contract discussions

2.2 Information Talent/Candidates Provide to Us

When you apply to join our vetted talent pool ("Get Hired") or are referred to us, we collect:

  • First and last name, contact details (email, phone, messaging handles)

  • Resume/CV, portfolio, and work samples

  • Professional experience, education, certifications, and software proficiencies (e.g., Exocad, 3Shape)

  • Employment history and references

  • Country of residence and, where relevant to a placement, immigration/work-authorization information

  • Any other information you choose to share with us during vetting or interviews

2.3 Communications Data

If you contact us by email, WhatsApp, LinkedIn, or another channel, we collect the content of that communication and associated metadata (e.g., contact details, timestamps).

2.4 Information Collected Automatically

When you browse the Site, we and our service providers may automatically collect:

  • IP address, device type, browser type, and operating system

  • Pages viewed, time on page, referring/exit pages, and general usage patterns

3. How We Use Your Personal Data

We use personal data to:

  • Match Clients with suitable Talent and facilitate introductions, interviews, and placements

  • Vet, screen, and evaluate candidates for suitability and skill level

  • Communicate with you about your inquiry, application, or an active placement

  • Prepare NDAs, service agreements, and other contractual documentation

  • Invoice and collect placement fees from Clients

  • Operate, maintain, and improve the Site and our Services

  • Send you updates, marketing communications, or newsletters (where you have opted in or as otherwise permitted by law)

  • Comply with legal obligations, enforce our agreements, and protect against fraud or misuse

  • Analyze aggregated, de-identified usage data to improve our Services

  • Matching Clients with Talent and managing a placement: performance of a contract, or steps taken at your request to enter into a contract.

  • Vetting candidates and sourcing talent: our legitimate interests in operating a recruitment business.

  • Responding to inquiries: our legitimate interests, or performance of a contract where one is being formed.

  • Sending marketing communications: your consent, where required by law, or our legitimate interests.

  • Legal compliance and dispute resolution: compliance with a legal obligation, or our legitimate interests in protecting our rights.

  • Non-essential cookies and tracking: your consent.

You may withdraw consent at any time where processing is based on consent, without affecting the lawfulness of processing carried out before withdrawal.

5. How We Share Your Personal Data

We do not sell personal data. We may share personal data with:

  • Clients: If you are Talent, we share your relevant professional profile, resume, and portfolio with prospective Client businesses as part of the matching process.

  • Candidates: If you are a Client, limited information (e.g., role requirements) may be shared with prospective candidates to facilitate interviews.

  • Service Providers: Website hosting (Framer), email and communication tools, analytics providers, and other vendors who process data on our behalf under contractual confidentiality and data-protection obligations.

  • Professional Advisors: Lawyers, accountants, and auditors, where necessary.

  • Legal and Safety Purposes: Where required to comply with law, respond to legal process, or protect the rights, property, or safety of CADhire, our users, or others.

  • Business Transfers: In connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections.

Any sharing of candidate information with Clients (or vice versa) generally occurs under the confidentiality/NDA framework referenced in our hiring process.

6. International Data Transfers

Because we operate across the United States and Europe, personal data may be transferred to, stored, and processed in countries other than the one in which it was originally collected, including the United States.

Where we transfer personal data out of the EEA, UK, or Switzerland, we rely on recognized transfer mechanisms, such as the European Commission's Standard Contractual Clauses (SCCs), the UK International Data Transfer Addendum, or other lawful transfer safeguards, and we take steps to ensure an adequate level of protection for your data.

7. Data Retention

We retain personal data only for as long as necessary to fulfill the purposes described in this Policy, including:

  • For the duration of an active hiring process or placement, and for a reasonable period afterward to handle our 30-day placement guarantee, invoicing, and any warranty/replacement obligations

  • For candidates not currently placed, for as long as you remain part of our active talent pool, or until you ask us to delete your profile

  • As required to comply with legal, tax, accounting, or contractual obligations

  • As needed to resolve disputes and enforce our agreements

When personal data is no longer needed, we securely delete or anonymize it.

8. Data Security

We implement reasonable technical and organizational measures designed to protect personal data against unauthorized access, disclosure, alteration, or destruction. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
